🚫 Short answer: No, deleting invoices is not legally permitted.
Once created and/or sent, invoices cannot be deleted from the records in our software. This is a strict requirement of the Dutch Tax Administration and applies to all businesses.
💡 Why can an invoice not be deleted?
The tax authorities require your records to be complete and unalterable . Once an invoice has a unique, sequential number, it must remain in your records, regardless of whether it contains errors, is canceled or is never paid.
This ensures financial flows remain traceable and auditable during any audit.
✅ What should I do with an incorrect or unwanted invoice?
Instead of deleting the invoice, you must always make a correction . Do this as follows:
1. The correct way: using a credit invoice
The only legally permitted way to correct or reverse an invoice is through a credit invoice (also called a credit note).
How does this work?
click the relevant invoice.
At the top right of the invoice details page is a 'Create credit invoice' button. Click it.
a credit invoice is automatically linked to the incorrect invoice, and both are marked as paid.
The credit invoice offsets the original incorrect invoice, bringing the combined total of both invoices in your records to zero .
Result: The member owes nothing further, and your records are fully correct and comply with tax authority requirements.
2. What if the member has not received the invoice?
Even if an invoice was created accidentally and has not yet been sent to the member, you must still use the credit invoice method to remove its effect from your records.
