Exporting data

2 min read

Through Settings > Data export you can download company data in bulk. Use this for bookkeeping, quarterly figures, reports or your own records, for example.

You can also open the export page directly at: https://coach.fitsociety.nl/company/settings/exports

Starting a new export

  1. In the coach dashboard, click Settings.

  2. Open Data export.

  3. Under Export type choose the data you want to download.

  4. Where shown, select the desired period. For invoice exports, this period is used to select the invoices.

  5. Choose the file format, for example XLSX or ZIP.

  6. Click Start export. The export is then prepared in the background.

Downloading multiple invoices as PDFs

Do you want to download the actual invoice PDFs for your bookkeeping as well as an Excel overview? On the export page, choose the type Invoices ZIP.

This option creates a ZIP file with the invoices from the selected period. The ZIP export is therefore available through Settings > Data export.

Which exports can you create?

The available export types may vary by account. The export page always shows the options enabled for your company.

  • Member list (XLSX): an Excel file with member details. In the advanced export, where available, you can select additional fields and filters.

  • Invoices (XLSX): an Excel file with invoice details and a VAT overview for a selected period.

  • Invoices ZIP: a ZIP file with the actual PDF invoices for a selected period.

  • Booking schedule (XLSX): an Excel file with locations, classes, coaches and bookings for a selected period.

  • Credits (XLSX): an overview of membership credits, individual credits and passes.

  • Subscriptions (XLSX): an overview of subscriptions with status filters, where this export is available for your account.

  • Subscriptions overview (XLSX): an overview of members with and without an active subscription, including a link to their financial details.

Downloading recent exports

At the bottom of the page is Recent exports. Here you can see the status of exports you started earlier.

  • Queued / In progress: the file is still being prepared.

  • Ready: the download link is available.

  • Failed: the export could not be created. Try again or contact support if this keeps happening.

If the export does not appear straight away, click Refresh.

Please note: exports may contain sensitive member and financial information. Store these files securely and share them only with people authorized to view this data.
